Administrative Assistant

Agency Manager - Oversees all departments within a title agency including title, accounting, escrow and sales.  Responsible for recruiting new staff, training existing staff, and maintaining office morale while supervising the day-to-day title agency operational issues.  Duties include increasing revenues, controlling expenses and continual improvements in work flow efficiency.  (ALTA Sample Description)

Assistant Operations Manager - An assistant operations manager assists in the management of one or more title agency office(s).  S/He assists in developing, training, and retaining effective office(s) support to meet objectives for profitability and growth. S/He works with the title manager/operations manager to carry out office(s) programs, policies, and objectives.  (ALTA Sample Description)

Auditor - Performs a variety of audits examining escrow accounts, bank statements, cancelled checks, and reconciliation reports for accuracy.  Reviews outstanding checks and deposits to investigate for irregularities.  Evaluate effectiveness of internal controls.  Examines settlement files for compliant underwriting procedures and appropriate documents.  Follows up on any deficiencies. Bookkeeper -A bookkeeper is responsible for various bookkeeping functions of the department, including but not limited to bank reconciliations, invoicing, data entry, weekly deposits, and general ledger reconciliations. (ALTA Sample Description)

Branch Manager -The Branch Manager directs and manages the day-to-day operational activities of a direct title & escrow operation.

Business Continuity Planning

Business Development -The Business Development Associate helps to boost company growth and sales. S/He conducts market research, develops business strategies, builds client relationships, and identifies new business opportunities. (ALTA Sample Description)

Closing Manager - Supervise daily operations of remotely located Settlement Officers in a specific region.  Manage staffing, hiring, training, reviews and staff meetings.  Oversee marketing plans, sale meeting attendance and execution and results of the by Settlement Officers’ efforts.

Commitment Specialist / Processor - Responsible for the day-to-day production of title insurance commitments, typing legal descriptions and issuing certificates of information based on the title report and data provided by the Title Searcher.  All of the Commitment Specialists work is reviewed by a Title Examiner.

Compliance Officer - A compliance officer assists in conducting operational compliance examinations. S/He collects audit evidence during external audits, as well as during ongoing compliance reviews. This position must function as an independent and objective body that reviews and evaluates compliance issues and concerns within the organization. The compliance officer ensures that both management and employees comply with the rules and regulations of title agencies, that company policies and procedures are followed, and that behavior in the organization meets the company’s expectations. Controller / Accounting Manager - Accountable for processing and maintaining accurate and complete accounting records to support the production of monthly, quarterly and annual financial reports that are provided to upper management.  Process accounts payable, collect data to report income on a monthly basis and reconcile all bank accounts.  Process payroll.  Work as liaison with cash manage resolving issues and making positive pay decisions.  Administrator for all online banking accounts.

Conveyancer - A conveyancer obtains the mortgage payoffs, tax & utility certifications, municipality inspection requirements and any other lien releases for the seller in order to provide clear title to their buyer.  They also assist the parties with scheduling the closing date, time and location.  This position is the  realtor liaison collecting any addendums to the agreement of sale and gathering the seller side fees for closing, such as commissions, seller assists,  and reimbursements for certifications.

Courier/Messenger -The courier receives and/or delivers all mail and pickups as directed. S/He must complete deliveries to the proper companies in an efficient and timely manner. (ALTA Sample Description)

Customer Service Representative - Provide timely, quality customer service performing research as necessary to respond to inquiries.  Gives assistance when needed to other departmental staff members.  Handles complaints or involves the appropriate parties to resolve the customers issues. File Clerk - A file clerk is primarily responsible for the retrieval and filing of all files. S/He is also responsible for maintaining file areas both onsite and at offsite storage areas. (ALTA Sample Description)

Human Resources Administrator - The human resources administrator is responsible for supporting employees. S/He processes new hires, coordinates new hire orientations, maintains personnel files, and handles transfers. This position also arranges rate changes, payroll, and terminations. IT Manager - The IT Manager is responsible for meeting all internal IT needs and developing and enhancing the IT provisions available within the organization. The IT Manager is responsible for managing vendor IT services and coordinating with the managed service provider on all IT issues.  This position is also responsible for organizing and managing the company's information technology projects from development to installation, and for providing efficient desktop support to all business users. Order Opener - Open new order is title specific software, orders title searches, order tax certifications and handle other office duties including mail distribution and phone coverage.

Policy Typist - Type final owner’s and lender’s policies using the recorded documents and marked up title commitment.  Review and verify accuracy the names and tenancy in the recorded documents.  Verify that commitment liens were cleared or paid off at closing. (ALTA Sample Description)

Political Outreach/Government Relations

Post Closer - Verifies escrow file is in balance after closing.  Confirm incoming wires, deposit checks and completes outgoing wires. Prep and overnight mortgage packages and mortgage payoffs.  Review and scan all file documents in appropriate software categories including 1099s, photo IDs, affidavits, etc.  Complete recording of executed documents either electronically or via overnight shipment.

Receptionist - The receptionist is responsible for making a positive first impression on walk-in visitors and callers, as well as directing visitors and routing callers to correct destinations. S/He handles inquiries from branch offices and provides information about the organization. This position processes searches and open orders upon request. Settlement Officer/Agent - They are the liaisons between all parties in the transaction including buyer, seller, lender, listing real estate agent and selling real estate agent.  The Settlement Officer reviews the title insurance commitment to determine what requirements must be cleared to convey a clear and insurable property title.  They prepare final documents for signature.  They process the mortgage package if there is a loan and balance the final Closing Disclosure for lender approval.  The Settlement Officer conducts closing where the buyer and seller execute the documents necessary to convey title of the property and secure a new loan if applicable.

Settlement Processor - Prepares lender packages containing the title commitment, incoming wire instructions, tax certifications, preliminary closing disclosure statement, and closing protection letter.  The Processor works at obtaining information such as mortgage payoffs, current and delinquent taxes, final water, sewer and trash fees, and real estate agent commission amounts.

Title Assistant - The title assistant performs various clerical tasks as directed by our title officers. S/He is responsible for incoming and outgoing correspondence, proofreading, filing, and copying. This position prepares documents and instructions for closing transactions.

Title Examiner - Analyzes and evaluates title commitments.  Examines search documents including deeds, mortgages, judgements, liens, easements, restrictions, maps, etc. to determine property ownership, encumbrances and verify legal descriptions. Raises objections and exceptions that may prevent or hinder the sale of the properly, use of the property or insurability by a Title Insurance Policy.

Title Production Manager - Manage the daily operations of the title searchers, commitment production staff and examiners prioritizing work and adjusting schedules accordingly.  Responsibilities include meeting production deadlines, fielding questions, as well as hiring, training and reviewing staff.

Title Agency Manager - The Title Manager manages one or more title agency offices.  Develops, trains and retains an effective office support team(s) to meet objectives for profitability and growth. Works with executive management to carry out office(s) programs, policies, and objectives. (ALTA Sample Description)

Title Searcher/Abstractor - Search the public records for property ownership, chain of title, and any public records that may affect the property being researched.  Prepare a title report using the information that has been gathered to be the basis of a title insurance commitment.
